Wir suchen für das Institut für Nukleare Entsorgung (INE) eine motivierte und engagierte Person für eine Assistenzposition, die gerne in einem internationalen wissenschaftlichen Umfeld arbeitet.

Your Tasks

Ihre Aufgaben umfassen:

  • Organisation der Hauspost
  • Unterstützung der Mitarbeitenden bei Beschaffungsvorgängen (Fahraufträge, Versandanzeigen, Bewirtungsaufträge)
  • Unterstützung der Mitarbeitenden bei der Nutzung des ESS-Systems (z. B. bei Urlaubsanträgen)
  • Entgegennahme von Telefonaten, Vorselektion der Gespräche, Beantwortung von Anfragen, Vorbereitung der Geschäftsvorgänge für die zuständige Ansprechperson
  • Vor- und Nachbereitung von Reisen für die stellvertretende Institutsleitung
  • Vorbereiten und Durchführung von Veranstaltungen wie Workshops und Seminaren
  • Vertretung im Institutssekretariat: Kontaktzentrale, Terminplanung, Reiseplanung
  • Vertretung im Lehrstuhlsekretariat: Koordination und Überwachung von Terminen für Vorlesungen, Seminare, Prüfungen

Your Profile

  • Abgeschlossene Berufsausbildung im verwaltungs- oder kaufmännischen Bereich (z. B. Kauffrau / Kaufmann für Büromanagement (w/m/d)) oder vergleichbare Qualifikation
  • Profunde EDV- und MS-Office-Kenntnisse
  • Erfahrung im Einsatz digitaler Kommunikationswerkzeuge
  • Erfahrung mit den am KIT eingesetzten Verwaltungssystemen (z. B. SAP)
  • Sehr gute Deutsch- und Englischkenntnisse in Wort und Schrift
  • Strukturierte und selbständige Arbeitsweise
  • Zuverlässigkeit, Gewissenhaftigkeit, Vertraulichkeit sowie ein freundliches Auftreten
